Microsoft Outlook remains one of the most widely used email systems in the world today, along with it’s calendar. But in today’s world, many business executives and employees literally live and die by their calendars.
In fact, at times, it can even be hard to see all of the appointments at first glance. So to make this easier, Outlook now has a functionality that lets you color code the types of appointments and meetings that you have, so you can easily prioritize your workday.

How To Set Up The Color Coding
An example of the coloring scheme available is illustrated in the diagram below:

It should be noted that if you pick a particular color, such as red for a meeting, it will also connect you to all of the other activities that are related to it (in technical terms, this can be viewed as a “parent-child relationship”). Also, this color-coding scheme only applies to activities that are in your Outlook Calendar, and nowhere else.

Once you have decided on the kind of color coding you want, follow these steps to implement them for the activities in your calendar:
- In your calendar, right click on the event you wish to highlight. Go to the “Categorize” option, and then select the appropriate color category.
OR
You can go to the activity, double click to open it up, and from there, hover over to the “Categorize” option, which can be found in the “Tags” grouping. This is illustrated in the diagram below: (SOURCE: 1) - Next, pick out the appropriate color category, which is located in the dialog box called “Color Categories”. Once you have found the right one, select it with a check mark. This is illustrated in the diagram below:(SOURCE: 1)
- If this is the first time that you are creating a color category for an event, such as a weekly meeting, you may be asked to rename the default category to the new one that you designate. If you desire, you can even change the default color to a different one, and even create a shortcut for your keyboard. This is illustrated in the diagram below:
